Managing Groups

Learn how to manage your group as an owner or moderator on Loclie.

Overview

If you're a group owner or moderator, you have tools to manage your community effectively. Group management is handled through the Manage portal at manage.loclie.com.au.


Accessing Group Management

For Group Owners/Moderators

  1. Sign in to the Manage portal at manage.loclie.com.au
  2. Navigate to Groups from the sidebar
  3. Or go directly to manage.loclie.com.au/group-dashboard
  4. Select the group you want to manage

Note: Only the group creator, owners, and moderators can access management tools.


Group Roles

Owner

The person who created the group:

  • Full control over group settings
  • Can assign/remove moderators
  • Can remove any member
  • Can change member roles

Moderator

Assigned by the owner:

  • Can manage posts (delete inappropriate content)
  • Can approve/deny member requests (private groups)
  • Cannot change group settings
  • Cannot change other members' roles

Member

Regular group participants:

  • Can view group content
  • Can create posts
  • Can comment on posts
  • Can delete their own posts and comments

Group Settings

The group dashboard provides toggle controls for the following:

Privacy Setting

Toggle between public and private:

  • Public - Anyone can view posts and join directly
  • Private - Only approved members can view posts; users must request to join

Note: Even when private, the group is still visible in the group list. Only the posts are hidden from non-members.

Post Moderation

Toggle post approval requirements:

  • Off (default) - All member posts appear immediately
  • On - New member posts must be approved by a moderator or owner before being visible

Note: Posts from owners and moderators are automatically approved even when post moderation is enabled.

Area Coverage

Toggle area-wide visibility:

  • Off - Group is only visible in its home town
  • On - Group is visible to all towns in the Local Government Area

Editing Group Details

Name and Description

The group management page allows you to edit your group's name and description inline:

  • Group Name - Update the display name of your group
  • Description - Edit the group description text

Announcement

The group management page has a dedicated Announcement section:

  • A short text field (up to 150 characters) for a message that appears on your group's card
  • Use it for quick updates like "Meeting moved to Thursday this week" or "New members welcome!"
  • Leave it empty to hide the announcement from your group card

Group Images

The management page provides multi-image management with three image slots:

  • Main image - The primary image for your group
  • Square image - Used for card displays and thumbnails
  • Thumbnail - A small version for compact views

Each slot supports image upload with cropping for best display.

Edit your group's social media profiles:

  • Facebook
  • Instagram
  • TikTok
  • X/Twitter
  • YouTube
  • LinkedIn

Create Event

The group management page includes a "Create Event" button that takes you to the event creation form with your group pre-selected in the Group Association field. This is the quickest way to create an event linked to your group.


Managing Members

Viewing Members

The members page shows all group members with:

  • Display name
  • Role badge (owner, moderator, or member)
  • Join date

Approving Members (Private Groups)

If your group is private, pending join requests appear on the join requests page:

  1. Review the requester's display name and request date
  2. Click the checkmark to approve
  3. Click the X to reject

Changing Roles

The group creator can change member roles:

  1. Find the member in the list
  2. Use the role dropdown to switch between Member and Moderator
  3. The change takes effect immediately

Removing Members

The group creator can remove members:

  1. Find the member in the list
  2. Click the X button next to their name
  3. Confirm the removal

When to remove:

  • Violation of group guidelines
  • Inappropriate behaviour
  • Spam or self-promotion

Group QR Codes

Generate QR Codes

Group owners and moderators can create QR codes for promotion from the group management page on the Manage portal:

  1. Go to your group's management page on the Manage portal
  2. Click "Generate New QR Code"
  3. A new QR code is created with a unique tracking code

Using Group QR Codes

Each QR code shows:

  • A visual preview of the code
  • The unique code identifier
  • Scan count
  • Creation date
  • The group page URL it links to

Download and use for:

  • Print for meetup locations
  • Share on social media
  • Include in promotional materials

Deleting QR Codes

  1. Find the code in the QR Codes section
  2. Click "Delete"
  3. Confirm deletion

Linking Events to Your Group

Group-Event Association

Group owners and moderators can link events to their group. This creates a two-way connection -- the event card shows the group name, and the group page displays upcoming linked events.

  1. Go to Events on the Manage portal
  2. Create a new event or edit an existing event
  3. Look for the Group Association section in the event form
  4. Select your group from the dropdown (only groups you own or moderate appear)
  5. Save or publish the event

What Happens When an Event is Linked

  • Event cards display a "by [Group Name]" label with a link to your group page
  • Your group page shows an "Upcoming Events" section listing all linked events
  • Users browsing your group can discover your events, and users viewing your events can discover your group

Unlinking an Event

To remove the association, edit the event and change the group selection to "None (independent event)".

Permissions

Only group owners and moderators can link events to a group. This is validated server-side -- even if you select a group you don't manage, the link won't be saved.


Moderation

Keeping Your Group Healthy

Regular tasks:

  • Review new posts (especially if post moderation is enabled)
  • Address concerns from members
  • Maintain guidelines

Handling Issues

Inappropriate content:

  • Delete the post (both moderators and post authors can delete posts)
  • Warn the member if needed
  • Remove repeat offenders

Conflicts:

  • Address privately when possible
  • Remind members of guidelines
  • Mediate fairly

Best Practices for Owners

DO:

Stay active

  • Post regularly (groups with no activity for 30 days may be automatically removed)
  • Engage with members
  • Lead by example

Be fair

  • Consistent enforcement
  • Treat all members equally
  • Transparent decisions

Empower moderators

  • Assign trusted members as moderators
  • Share responsibilities
  • Build a team

Listen to members

  • Accept feedback
  • Adapt when needed
  • Build what members want

DON'T:

Abuse your power

  • Remove fairly
  • Don't play favourites
  • Stay professional

Neglect the group

  • Active owners make active groups
  • Delegate if needed
  • Consider stepping down if unable

Over-moderate

  • Let discussion flow
  • Don't micro-manage
  • Trust your community

Transferring Ownership

If You Need to Step Down

Contact support to transfer group ownership:

  1. Use the Help button in the app
  2. Specify the group
  3. Name the new owner (must be a member)
  4. Complete the transfer

Frequently Asked Questions

Can I have multiple moderators?

Yes, the group creator can assign multiple members as moderators to help manage the group.


How do I handle spam?

Delete spam posts, warn the poster, and remove repeat offenders using the member management tools.


Can members be banned?

You can remove members. If they rejoin inappropriately, contact support.


What if I want to leave my group?

Owners must transfer ownership before leaving. Contact support for assistance.


Can I delete my group?

Yes. Go to your group's management page and find the delete option. You will need to type your group's name to confirm deletion.
