Add your community event to Loclie to reach local residents and visitors.

Why Create an Event on Loclie?

Benefits:

Before You Start

What you'll need:

  • A Loclie account (create one free)
  • Event details (date, time, location, description)
  • Event photo (optional but recommended)
  • Category for your event (optional)

Event requirements:

  • Must be a real, scheduled event
  • Must be appropriate for all audiences (or marked Adults Only 18+)
  • Must comply with community guidelines
  • Commercial events are allowed

Step-by-Step Event Creation

Step 1: Access Event Creation

From the Event Dashboard:

  1. Sign in to the Manage portal at manage.loclie.com.au
  2. Select "Events" from the sidebar
  3. Click "Create Event"

Step 2: Event Details

Event Title (required):

  • Clear, descriptive name
  • Include key details (e.g., "Summer Markets - Byron Bay")

Category (optional):

  • Select from available categories (loaded from the Loclie database)
  • Helps people find your event through search and filtering

Description:

  • What's happening at the event
  • What attendees can expect
  • Any special features or highlights

Step 3: Date & Time

Duration:

  • Toggle between "Single Day" and "Multiple Days"
  • When set to Multiple Days, an End Date field appears

Time:

  • Toggle between "All Day" and "Specific Times"
  • When set to Specific Times, Start Time and End Time fields appear
  • When set to All Day, time fields are hidden

Date and Time:

  • Start Date (required): When the event begins
  • Start Time: Event start time (hidden for All Day events)
  • End Date: When the event ends (only shown for Multiple Days events)
  • End Time: Event end time (hidden for All Day events)

Step 4: Location

Venue Name:

  • The name of the business or location (e.g., "Town Hall")

Address:

  • Start typing and select from the autocomplete suggestions
  • The address picker provides autocomplete for accurate locations
  • Coordinates are automatically captured from your selection

Step 5: Additional Details

Tags:

  • Add comma-separated tags to help people find your event
  • Examples: music, outdoor, family-friendly, food
  • Tags improve search discoverability

Age Group:

  • All Ages (default) - Suitable for everyone
  • For Kids - Aimed at children
  • Adults Only (18+) - Restricted to adults

Event Image (optional but recommended):

  • Upload a single photo for your event during creation
  • Supports image cropping for best display
  • Max 5MB file size
  • Use high-quality, relevant images
  • After creation, the edit page provides multi-image management with main, square, and thumbnail image slots

Tips for great event photos:

  • Show the event atmosphere
  • Include people having fun (if applicable)
  • Bright, well-lit photos
  • Relevant to the event type

Step 6: Club Association (Optional)

If you own or moderate a club on Loclie, you can link your event to that club:

  • What is Club Association?

    • The event will display a "by [Club Name]" label linking to your club page
    • Your club page will show the event in an "Upcoming Events" section
    • Great for club meetups, competitions, and community gatherings
  • How to link your event to a club:

    1. Look for the Club Association section in the event form
    2. Select your club from the dropdown (only clubs you own or moderate are shown)
    3. Choose "None (independent event)" to create an event without a club link

Club Association

You can only link events to clubs where you are an owner or moderator. If you don't manage any clubs, this section won't appear.


Step 7: Area-Wide Event Option

If your town belongs to a Local Regional Area, you can mark your event as "Area-Wide":

  • What is an Area-Wide Event?

    • Event will be visible to all towns in your Local Regional Area
    • Great for events that serve the wider community
    • Examples: Regional festivals, area sporting events, multi-town markets
  • How to make your event Area-Wide:

    1. Look for the "Area-Wide Event" checkbox during event creation
    2. Check the box to make your event visible across the region
  • When to use Area-Wide:

    • Event attracts people from multiple towns
    • Event serves the entire regional area
    • Event venue is accessible to neighbouring towns

Step 8: Submit Your Event

You have two options when submitting:

Save as Draft:

  • Saves your event without publishing it
  • Only visible to you in your Event Dashboard on the Manage portal
  • You can continue editing and publish later

Publish Event:

  • Submits your event for publication
  • Important: Published events require admin approval before they appear publicly. This usually happens within 24 hours.
  • You'll see a confirmation screen with the approval status

Auto-Save:

  • Your event form automatically saves a draft after 60 seconds of inactivity
  • If your browser crashes, you'll be prompted to restore your unsaved draft on your next visit

After Creating Your Event

Moderation and Approval

When you publish an event, it is submitted with a "pending" moderation status. An admin reviews your event before it becomes publicly visible. This helps maintain quality and prevent spam.

  • Awaiting Approval - Your event has been submitted and is being reviewed
  • Published - Your event has been approved and is visible to the public
  • Rejected - Your event did not meet guidelines (you can edit and resubmit)

You can now:

  • View your event status on the Events page on the Manage portal
  • Edit your event details while waiting for approval
  • Share the event link once it's approved
  • Generate QR codes for promotion

Promote Your Event

Built-in tools:

  • Generate QR codes for posters and flyers
  • Copy direct link to event

Tips for promotion:

  • Share early and often
  • Use local community groups
  • Partner with local businesses
  • Update event details if needed

Managing Your Events

Event Dashboard

Access your dashboard:

  1. Go to Events from the sidebar, or visit manage.loclie.com.au/event-dashboard
  2. View all your events (past and upcoming)
  3. See event stats

From your dashboard you can:

  • Edit event details
  • Send updates to subscribers
  • Generate QR codes
  • Publish draft events
  • Delete events

Editing Your Event

You can edit:

  • Event title and description
  • Date/time (including duration and time toggles)
  • Location details (venue name, address)
  • Category and tags
  • Age group
  • Photos (multi-image with main, square, and thumbnail slots)
  • Status (Draft, Published, Cancelled)
  • Area-Wide setting
  • Announcement box (a short message displayed on your public event page)

How to edit:

  1. Go to Events on the Manage portal
  2. Find your event
  3. Click the Edit icon (pencil)
  4. Make changes
  5. Click "Save Changes"

Expired Event Handling

What Happens When an Event Ends

When an event's date has passed, you'll see an expired event notice on the edit page. You have two options:

  1. Schedule Next Occurrence - Set a new start date and keep all event content. The event is marked as recurring and the end date is automatically calculated based on the original event duration.
  2. Delete Event - Permanently remove the event.

Event Guidelines

DO:

Provide accurate information

  • Correct dates, times, locations
  • Honest descriptions
  • Real contact details

Use appropriate categories and tags

  • Choose the best-fitting category
  • Add relevant tags
  • Set the correct age group

Update if details change

  • Edit through your dashboard
  • Use the Announcement Box for important notices
  • Send updates to subscribers
  • Mark as cancelled if needed

DON'T:

Create fake events

  • Must be real, scheduled events
  • No test listings
  • No placeholder events

Spam or duplicate

  • One listing per event
  • Don't repost same event
  • Don't create multiple accounts

Mislead attendees

  • Accurate pricing info
  • Honest descriptions
  • Real locations

Frequently Asked Questions

Is it free to post events?

Yes! Posting events on Loclie is completely free, always.


Do events need approval?

Yes. Published events are reviewed by an admin before appearing publicly. This usually happens within 24 hours. Draft events are only visible to you.


Can I edit an event after it's created?

Yes! You can edit your events anytime from the Events page on the Manage portal.


Can I delete an event?

Yes. From the Events page on the Manage portal, you can delete any event.


What if my event gets cancelled?

Update your listing: Change the status to "Cancelled" in the edit page. You can also post an update to notify subscribers.


Can I create multiple events?

Yes! There's no limit to the number of events you can create.


Do I need a business account?

No. Anyone with a Loclie account can create events.


Best Practices

Writing Great Event Descriptions

Include:

  • What's happening
  • Who should attend
  • What to bring/expect
  • Parking/transport info
  • Accessibility details

Example good description:

"Join us for our monthly farmers market featuring 30+ local vendors, live music, and kids activities. Browse fresh produce, artisan crafts, and gourmet food. Free entry, family and pet-friendly. Plenty of parking available at the community centre."


Choosing the Right Photo

Best practices:

  • Use photos from previous similar events
  • Show people engaged and having fun
  • Bright, colorful, high-quality
  • The image cropper helps you position your photo for best display

Timing Your Event Listing

Post early:

  • 2-4 weeks before: Ideal
  • 1 week before: Minimum
  • Day of: Too late for most promotion

Keep it updated:

  • Add details as they're confirmed
  • Update if anything changes
  • Remove if event is cancelled
